Job Description and Responsibilities
The Records Management Specialist is responsible for daily data entry and records management for the Statewide Misdemeanant Confinement Program (SMCP). Additionally, the Records Management Specialist will assist the Program Coordinator in the development and execution of program training classes and administrative projects. The position reports to the Program Coordinator and assists the Association’s other team members as needed.
Essential duties include, but are not limited to:
- Accurately enters data and processes all forms in the SMCP records database
- Responds promptly and professionally to telephone and email inquiries about the SMCP
- Navigates a web-based software program for data entry and records storage
- Adheres to internal operating and records management procedures
- Resolves issues or questions with Judgment and Commitment Orders for inmates assigned to the SMCP
- Recommends policy changes to the Program Coordinator. Policies may be internal operations or revisions to the SMCP
- Assists the Program Coordinator in preparing written reports for NCSA management and team members
- Assists in preparing responses to legislative inquiries about the SMCP or other Association managed programs for which the Program Coordinator has assigned oversight
- Maintains a professional working relationship with jail administrators, detention officers, county finance managers, and other sheriff’s office personnel from across the state as well as all NCSA staff
- Increases professional skills through annual staff development training classes
- Stays up-to-date on the SMCP and other North Carolina Justice Reinvestment-related topics
- Travels to and works onsite at SMCP training classes, assists with logistics; sets-up and prepares meeting rooms including basic A/V equipment set-up
- Provides general administrative support to the SMCP
- Assists co-workers as necessary and performs any additional duties as assigned
Qualifications:
- Education Requirement: 4 year college degree or equivalent experience
- Must become certified as a general instructor within the first year of employment
Required Skills:
- Minimum three to five years related work experience
- Demonstrated collaborative skills and ability to work well within a team
- Proficiency with Microsoft Office
- Data entry experience
- Demonstrated ability to work independently and solve problems
- Strong organization and interpersonal skills
- Outstanding written and oral communication skills
- Ability to work in a fast-paced environment
- Knowledge of modern office practices and procedures
- Ability to adhere to our Association’s professional standards and core values
- Ability to perform other related duties as assigned
Supplemental Information:
The work involves some travel as noted above but is typically performed in an office while sitting, standing, or stooping. The employee occasionally lifts light and heavy objects, weighing up to 20 pounds.
