2015 Fall Meeting Official Training Manual Advertising

The North Carolina Sheriffs’ Association will again offer advertising opportunities in its Fall Meeting Official Training Manual. This manual will be given to all attendees, including sheriffs and members of their command staff. The manual will contain the agenda for the conference, important training materials for the attendees, a section listing all of the North Carolina Sheriffs’ Association’s Corporate Partners with color logos, and a listing of all of the meeting’s sponsors. The manual will be retained by the sheriffs and command staff due to the valuable training materials enclosed.

Attendance at the Fall Meeting is expected to be approximately 200 guests, including sheriffs, sheriffs’ personnel, state officials, and Department of Justice personnel. This is an excellent opportunity to get your message in front of your target audience.

To be fair to everyone, the advertisements for the back cover, inside front cover, and inside back cover (these must be color) will go to the first company that registers for them.

Coordinator – Conference/Meetings/SLI

Job Description and Responsibilities

The Coordinator will work with the Manager – Conference/Meetings/Sheriffs’ Leadership Institute to plan and implement various training opportunities for the sheriffs and sheriffs’ personnel of North Carolina. This includes the Annual Training Conference, Spring and Fall Meetings, Sheriffs’ Leadership Institute (SLI), and other special project-related training events. The Coordinator will assist with planning and organizing the logistics for all Association conference and training events.

Essential duties include, but are not limited to:

  • Conference/Meetings/SLI: 
    • Assists with all aspects of organizing, planning and coordinating the Associations’ conferences, meetings, training events.
    • Develops and/or maintains highly professional standards and procedures for production of events in keeping with the image and reputation of the North Carolina Sheriffs’ Association.
    • Negotiates and reviews contract agreements under the supervision of the Manager – Conference/ Meetings/ SLI and NCSA legal counsel.
    • Assists Manager with the coordination and management of the Association’s annual events, committee meetings and training sessions.
    • Assists with preparation of pre- and post-event reports and analysis, and assesses opportunities and makes recommendations for improving service to the sheriffs, and implements those improvements as appropriate.
    • Travels to and works onsite at Association meetings and conferences, assisting with logistics and other projects.
    • Manages, organizes and assigns staff to assist at conferences, training or meetings.
    • Identifies and compiles training resource materials and ads.
    • Monitors onsite activities to ensure event attendees are satisfied.
    • Manage event set up and tear down.
    • Acts as a liaison between the Association and contracted trainers for all Association conferences and training events and develops and maintains an effective working relationship with existing and prospective trainers.
    • Drafts and publishes online event registrations for the association conferences, event and training classes.
    • Lead and oversee the registration process from start to finish for all conferences and training events, including posting online registration notices, registration website management, and the exporting of registration lists.
    • Coordinates with the host sheriff and staff on the needs of both the Association and the host sheriff for the Annual Training Conference, Spring and Fall Meetings.
    • Serves as a point of contact for questions regarding logistics and training for Association conferences and training events.
    • Establish standardized event procedures and ensure staff is trained on execution including ensuring checklists and guidelines are provided for each event type and kept in a centralized location.
    • Assists in the development of training curriculum and materials for the Sheriffs Leadership Institute.
    • Assesses opportunities and makes recommendations for improving training for the sheriffs, and implements those improvements as appropriate; travels to and works onsite at association meetings.
    • Responsible for all administrative functions of the conferences and meetings.
    • Assists in the development of training curriculum and materials for the Sheriffs’ Leadership Institute.
  • Project Management:
    • Manages and maintains the master project plan for assigned programs.
    • Prepare, coordinate and schedule pre and post project meetings for all events.
    • Analyzes data from conference evaluations and surveys and develops action plan to improve event quality and customer satisfaction.
    • Coordinates with internal and external team members to ensure event planning tasks remain on schedule and within budget.
    • Coordinates with Manager to manage non- scheduled training requests approved by the Executive Committee for sheriffs’ and sheriffs’ personnel.
    • Build and adhere to event budgets to avoid excess costs.
    • Track event performance areas and identify items to work on for future events.
    • Manages project tasks to make sure schedule is on track.
    • Develops and presents a project status report at pre-conference. Reports must include but are not limited to the assigned projects and project’s goal, tasks completed, pending actions, and the project’s completion date.
  • Miscellaneous: 
    • Assists co-workers as necessary and performs any additional duties as assigned.
Qualifications:

Education Requirement: 4-year college degree or equivalent experience

Required Skills:

  • Minimum 3 years related work experience
  • Extensive event coordination or meeting management experience in the Non-Profit sector
  • Detail oriented in a fast-paced, event-oriented environment
  • Proven ability to exercise independent decision-making
  • Demonstrated collaborative skills and ability to work well within a team

Manager – Events

Job Description and Responsibilities

The Manager – Events has overall oversight of event program operations, which includes planning and implementing various meetings for the Sheriffs’ Offices of North Carolina including the Annual Business Conference, Spring Meeting, Fall Meeting, Leadership Institutes, and special project-related training classes or events.

In addition, to the day-to-day components of program management, the Manager is responsible for leading the development, and implementation of a variety of programs to help the Association achieve desired business results.

Manager – Events will manage multiple concurrent projects and will work with several internal and external resources.

The position will work closely with the Association’s General Counsel to develop, plan and implement a professional comprehensive curriculum for the Sheriffs’ Leadership Institute, Chief Deputies Leadership Institute and Jail Administrators’ Institute of Leadership. This position reports to the Director – Administration.

Essential duties include, but are not limited to:

Leadership Institutes

  • Provides leadership, professional expertise, and direction in the research, development, implementation and execution of a comprehensive curriculum for sheriffs, chief deputies and jail administrators
  • Develops and maintains highly professional standards and procedures for implementing training programs in keeping with the image and reputation of the North Carolina Sheriffs’ Association
  • Conducts training needs assessments for Sheriffs’ Leadership Institute, Chief Deputies Leadership Institute and Jail Administrators’ Institute of Leadership by speaking with experienced and recently elected sheriffs
  • Researches standards, practices, and trends for leadership development in law enforcement
  • Selects appropriate training methods to achieve training objectives
  • Identifies, reviews and recommends potential training venues and subject matter experts to serve as instructors for the Sheriffs’ Leadership Institute, Chief Deputies Leadership Institute and Jail Administrators’ Institute of Leadership
  • Coordinates the delivery of training at all Leadership Institutes
  • Evaluates the overall effectiveness and learning that occurs at all Leadership Institutes
  • Modifies training courses based on the feedback from attendees

Administrative Assistant – Operations & Support Services

The North Carolina Sheriffs’ Association is a non-profit organization that represents the 100 Sheriffs of North Carolina and their personnel.  We are looking for a team member who is very detail-oriented and who can multi-task in a very fast paced, busy office.  We are also looking for someone with a sincere commitment to excellence and the success of the Association, as well as respect for the constitutional Office of Sheriff and the persons holding the Office.

The Administrative Assistant – Operations & Support Services is responsible for providing support to the Manager – Operations & Support Services. This is accomplished by offering a detailed approach to creating and editing documents and written communications, performing clerical functions, and handling multiple priorities that support the day-to-day operations of the Association.

Essential duties include, but are not limited to:

General Support

  • Opens, sorts, and delivers mail daily
  • Answers door greets guests, and alerts appropriate staff of visitors
  • Responsible for answering all incoming telephone calls on the NCSA main telephone line and directing calls to the appropriate party
  • Responsible for office telephone management, including setting up new extensions, changing extensions, and phone tree management
  • Checks NCSA mailbox and takes mail downstairs on a daily basis (by 12:00 p.m.)
  • Monitors and updates staff telephone lists
  • Responsible for facilitating Xerox maintenance with vendor, and stocking office copiers/printers
  • Ensures tidiness of the NCSA work/common areas (Kitchen, conference rooms, copier rooms, etc.), and turns on dishwasher and unloads as needed
  • Monitor and manage inventory of office supplies; order and distribute office supplies as necessary
  • Responsible for updating the main voicemail greeting and sending reminders to all staff before holidays for out-of-office replies
  • Provides general administrative support for various tasks and other projects, as assigned
  • Prepares new sheriff welcome packets and retired sheriff packets
  • Prepares picture IDs for new and retired sheriffs
  • Mails list of active Sheriffs’ Spouses to the Sheriffs’ Spouses
  • Prepares and sends email to Sheriffs’ wives to update contact information before Annual Business Conference
  • Provides current list of Sheriffs and Retired Sheriffs to DMV for Sheriffs license tags
  • Orders and fulfills Sheriff pocket badge requests
  • Prepares and manages Sheriffs’ credentials
  • Updates and maintains shared calendar for Holidays and Birthdays
  • Updates and manages changes to the Association Letterhead
  • Updates, manages, and maintains the Association’s style guide
  • Provides back up support for Act and A List
  • Re-format news articles for email distribution to the Executive Committee
  • Tracks and records election updates for the Office of Sheriff on election years
  • Updates NCSA President’s Guidebook
  • Prepares correspondence to Council of State and government officials regarding attendance and speeches at Annual Business Conference, Spring Meeting, and Fall Meeting
  • Prepares, mails, and processes memo and ballots for Sheriffs’ Education and Training Standards Commission and notifies the Commission of results annually
  • Reviews and updates the Boards/Commissions Notebook
  • Sends official memorandum to sheriffs requesting their interest in serving on specific committees following election and organizes NCSA committee chart and list of committee selections annually to distribute to all sheriffs
  • Serves as backup for preparing funeral notices
  • Prepares mailing list of Sheriffs and mail calendars to Sheriffs each year
  • Prepares mail list of Active Sheriffs’ Spouses to Sheriffs’ Spouses
  • Prepares mail list of Retired Sheriffs and Widows to Retired Sheriffs and Widows
  • Maintains and updates the contract status log of third-party Vendors
  • Supports the new hire process by collecting, printing, and distributing resumes
  • Serves as back up for NCSA President’s Agenda
  • Maintains Notary Public Certification

Miscellaneous

  • Complete assigned tasks on the tickler list

The Administrative Assistant – Government Relations & Legal is responsible for providing administrative support to the Association’s Executive Vice President and General Counsel and to the Association’s legal staff. This is accomplished by offering a detailed approach to project management, creating documents and written communications, performing clerical functions, event planning, and managing and distributing information to staff and sheriff’s offices.

  • Email and Correspondence
    • Transcribes and sends emails, letters, and memos for EVP and Association’s legal staff
    • Drafts letters, emails, memos, and other documents per EVP and Association’s legal staff requests
    • Prepares correspondence to Council of State and government officials regarding attendance and speeches at Annual Training Conference, Spring Meeting, and Fall Meeting
    • Emails or mails Legislative Committee meeting minutes and all Membership meeting minutes to Association or Committee members
  • Media Calls
    • All media calls are routed to AA – EVP and AA – Government Relations & Legal
    • Makes sure caller’s information is in ACT
    • Asks caller for name, media organization, preferred telephone number, topic of story and deadline
    • Pages and emails EVP
  • Project Management
    • Prepares, mails, and processes memo and ballots for Sheriffs’ Education and Training Standards Commission and notifies the Commission of results annually
    • Reviews and updates the Boards/Commissions Notebook
    • Sends official memorandum to sheriffs requesting their interest in serving on specific committees following election and organizes chart and list of committee selections annually to distribute to all sheriffs
    • Transcribes position papers
    • Updates Smart Bill Tracker database
    • Monitors JPS Reporting Requirements and prints reports on a monthly basis for EVP

    • Ensures the completion of minutes for the Legislative Day Meeting, as well as the Legislative Committee Meetings by editing and adding attachments
    • Ensures the completion of minutes for Annual Training Conference, Spring meeting, and Fall meeting by editing and adding attachments
  • Event Planning
    • Prepares notices and materials, and coordinates Legislative Committee meetings including reserving space, notebooks, catering, and set up and break down of meeting room
    • Maintains pending agenda items folders for Legislative Committee meetings
    • Coordinates Legislative Day and Retired Sheriffs’ Luncheon including preparation of packets, agenda, speakers, catering, transportation, and site reservations
    • Coordinates GHSP Legislative Training programs including preparation of training materials, agenda, speakers, site setup, and catering
    • Works any NCSA meeting and conference as requested

    • Prepares weekly NC Lawyers Weekly publications for EVP
    • Serves as backup to AA –SMCP – Criminal Justice Programs regarding preparation and sending of funeral notices
